Privacy Policy & Data Protection

Last updated: 30/08/2026

This policy explains what we do with the personal information you give us, why we hold it, how long we keep it and what you can ask us to do with it. It applies to this website (ruislipwindows.co.uk) and to the enquiries, quotations and installations we handle.

Who we are

Ruislip Windows and Doors Ltd, trading as Ruislip Windows, is the data controller for the information described in this policy. That means we decide what information is collected and what happens to it.

  • Address: Unit 34 Orbital 25, Dwight Road, Watford, Hertfordshire WD18 9DA
  • Phone: (020) 8868 1133
  • Email: office@ruislipwindows.co.uk
  • Company registration number: 03054680
  • Registered with the Information Commissioner’s Office

If you have a question about your information, or you want to ask us to do something with it, please email us office@ruislipwindows.co.uk

You may also want to read our Website Terms of Use.

The information we collect

We collect the information you give us when you:

  • Book a free, no obligation quotation
  • Fill in the Quick Quote form on this website
  • Phone, email or message us on social media
  • Visit our showroom in Watford and ask us to follow up
  • Place an order with us

The information is usually your name, address, telephone number and email address. When we survey your home for an order we also record details of the property itself, such as measurements, window and door sizes and the existing installation, along with any access notes our fitters need.

We use analytics on this website, which tells us how many people visit and which pages they look at. It does not tell us who you are. There is more on this in the cookies section below.

How we use your information and why we are allowed to

The law requires us to have a lawful basis for everything we do with your information. Here is what we use it for and why.

What we use it for | Our lawful basis

  • Answering your enquiry, arranging a survey and preparing your quotation | Steps taken at your request before entering into a contract
  • Carrying out the work, keeping you updated and providing aftercare | Performance of our contract with you
  • Registering your installation with FENSA or CERTASS | Legal obligation. Replacement windows and doors have to be notified to building control, and we self-certify through a Competent Person Scheme
  • Arranging your insurance backed guarantee and deposit protection through Quality Assured National Warranties | Performance of our contract with you, and the requirements of the scheme we are registered with
  • Keeping order, guarantee and accounting records | Legal obligation for tax and company records, and our legitimate interest in honouring guarantees years after the work was done
  • Sending you news and offers by email or post | Our legitimate interest in staying in touch with customers and people who have asked us for a quotation. See the marketing section below
  • Understanding how this website is used | Our legitimate interest in seeing which pages are useful so we can improve the site
  • Dealing with questions, complaints or claims | Our legitimate interests, and where necessary establishing or defending legal claims

If you decide to go ahead with an order, we need your name, address and contact details in order to notify the installation and register your guarantee. Without them we cannot complete the job in the way the regulations require.

Who we share your information with

Organisations we have to notify when you have work done. If you go ahead with an installation, your details are passed to:

  • FENSA or CERTASS, so your installation can be registered with building control and your certificate issued
  • Quality Assured National Warranties, so your insurance backed guarantee and deposit protection can be set up

This only happens once you have placed an order. Enquiries and quotations are not shared with anyone.

Companies that help us run the business.

Like any company, we use suppliers whose systems hold our data: our website host, our email and office software, our accounting system and our website analytics provider. They act on our instructions, they are not allowed to use your information for their own purposes, and we have agreements in place that require them to keep it secure.

Manufacturers and suppliers

Where a product needs to be ordered to your measurements, or a manufacturer’s guarantee has to be registered in your name, we pass on what that supplier needs and nothing more.

We may also have to disclose information if the law requires it, for example to HM Revenue and Customs or in response to a court order.

We never sell your information, and we do not pass it to other companies for their own marketing

Some of the software we use stores information on servers outside the UK. Where that happens, we use suppliers who protect your information to UK standards through the safeguards the law provides.

How long we keep your information

Information | How long we keep it

  • Enquiries and quotations that do not lead to an order | 1 year from your last contact with us
  • Customer records, surveys and installation details | For the life of your guarantee plus 5 years, so we can support any claim
  • Accounting and tax records | Six years from the end of the financial year they relate to, as required by law
  • Marketing contact details | Until you ask us to stop, and then only enough information to make sure we do not contact you again

FENSA, CERTASS and Quality Assured National Warranties keep their own records of your certificate and guarantee under their own policies.

Cookies and website analytics

Cookies are small files a website stores on your device.

Cookies we need

This site uses a small number of cookies that let pages work properly, including the Quick Quote form. Without them parts of the site would stop working, so no consent is needed for these.

Analytics

We use Google Analytics to count visits and see which pages people find useful. This tells us how the site is used, not who is using it, and we do not use it to build a profile of you or to follow you around the internet. Under the rules that came into force on 5 February 2026, statistical cookies of this kind do not require your consent, but you can opt out at any time.

Advertising cookies

We do not use cookies to serve you advertising.

You can also block or delete cookies through your browser settings, though some parts of the site may not work properly if you do.

Marketing

If you have asked us for a quotation or had work done, we may send you occasional news, advice and offers about our windows, doors and conservatories, by email or by post. We keep it infrequent and relevant, and we never pass your details to another company to market to you.

Every marketing email has an unsubscribe link at the bottom. You can also reply to any email, phone the office on (020) 8868 1133 or write to us at the Watford address, and we will take you off the list straight away. Asking us to stop marketing does not affect any work we are doing for you or your guarantee.

Keeping your information secure

Our systems are password protected and access is limited to the people who need it to do their job. Paper survey notes and order paperwork are kept at our Watford premises. If something ever went wrong with your information and there was a risk to you, we would tell you and report it to the Information Commissioner’s Office as the law requires.

Your rights

You have the right to:

  • Be told what we do with your information, which is what this policy is for
  • Ask for a copy of the information we hold about you
  • Have mistakes corrected
  • Ask us to delete it, where we no longer need it and no legal duty requires us to keep it
  • Ask us to pause what we are doing with it while a query is sorted out
  • Object to us using it for our legitimate interests, including marketing, which we will always act on
  • Ask for it in a portable format so you can pass it to someone else
  • Withdraw your consent at any time, where we relied on consent

To use any of these rights, email office@ruislipwindows.co.uk or phone (020) 8868 1133. It is free, and we will reply within one month.

Please bear in mind that where a guarantee, an insurance backed warranty or a FENSA or CERTASS registration is involved, we may need to keep certain records even if you ask us to delete everything else. We will explain what we have kept and why.

Automated decisions

We do not make any decisions about you by automated means, and we do not profile you. Every quotation is priced by a person after a survey.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. Phone the office on (020) 8868 1133 or email office@ruislipwindows.co.uk.

You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk. Complaining to us first does not affect that right.

Changes to this policy

We review this policy when our systems change and will update it here.
